A pool service follow-up system that doesn't live in your head

Most lost revenue in a pool company isn't a lost customer. It's a quote nobody chased and a payment nobody noticed. Here is one ladder for all of it.

Why follow-ups fail

They live in memory. Memory works for five things. A route with 150 pools, a few open quotes and a dozen accounts produces fifty. The fix isn't trying harder; it's a system where every open item has a next date and someone watching it.

1. Repair quotes

  • Day 0: send the quote while the tech's note is fresh. A link the customer can approve on their phone beats a PDF in an email.
  • Day 2: one short nudge. "Wanted to make sure you saw the pump quote. Happy to walk through it at Tuesday's visit."
  • Day 7: mention it in person at the next service.
  • Day 14: close it out. Ask if anything changed, then mark it declined so it stops taking space in your head.

The 60-day script: "Hi Priya, it's Mike from the pool company. I noticed August is still open and wanted to check in personally. Is everything good with the service? If it helps, I can set you up on auto-pay so you never have to think about it."

3. Green pools and callbacks

Same day, always. A green pool before a weekend party is the review you'll get either way. Log it as soon as the call comes in, put it on a named tech's route, and confirm with the customer when it's scheduled.

4. Missed weekly visits

At 10 days with no visit logged, confirm whether the route changed. At 14 days, the owner calls. These are the customers who cancel quietly.

5. Reviews

Reply within a couple of days. Thank five-stars by name with one specific detail. Answer three-stars with what changed. Take one-stars offline with a name and a number. See the review response guide.

6. Equipment past its life

Not urgent, but don't forget it. Raise a planned replacement at a visit, before the season if you can. "Your heater is about five years old, which is when we start seeing ignition problems. Want me to price a replacement before spring?"
